Challenge
The company I consulted for was losing valuable time and momentum at the finish line of every deal. When a Sales Executive moved a deal to the "Contract/Invoicing" stage, it triggered a highly manual chain of events:
Sales had to leave their CRM to manually check if the customer existed in QuickBooks, create them if they didn't, and build an invoice from scratch.
They then had to manually monitor payment statuses.
Once paid, they relied on Slack to inform the Project/Onboarding team to start work. This reliance on human memory caused severe process gaps, delayed client onboarding, and kept the sales team bogged down in financial admin instead of selling.
Results
I built an automated, end-to-end workflow using Zapier to seamlessly connect Sales (Pipedrive), Finance (QuickBooks Online), and Delivery (Airtable).
The Impact:
Zero Manual Invoicing: Sales reps no longer touch QuickBooks, invoices and payment links are automatically processed.
Air-Tight Handoffs: The Project team receives complete, standardized data in Airtable the exact minute a payment clears.

Process
Here is how the engine works:
The Trigger: Moving a deal to the "Contract/Invoicing" stage in Pipedrive instantly fires the workflow.
Smart Routing & Conditional Logic: The system searches QuickBooks for the client. Using a branching path, it dynamically decides the next step: if the client is new, it creates a customer profile first; if they exist, it skips directly to invoicing.
Automated Commercials: It extracts the exact deliverables and deal values from Pipedrive to automatically generate an accurate QuickBooks estimate/invoice and a secure payment link.
The Seamless Handoff: Once the client pays via the generated link, the system detects the "Paid" status in QuickBooks. It then automatically pushes all deal context into Airtable, creating a fully populated project tracker and officially handing the client over to the onboarding team with zero human intervention.
To monitor deal stages in real-time and revert unauthorized changes instantly.
